Starting with Insurance Verification only
Your first week if you bought verification without the phones: what to set up, how to run your first check, how to do a whole schedule at once, and what it costs.
Updated Sep 17, 2026
If you signed up for Insurance Verification on its own, your account is deliberately smaller than the full product. There is no phone line to set up and no Amy answering calls. You sign in, pick a patient, and run the check yourself. This is the short version of your first week.
What you set up first
- Your practice details. Your legal practice name, your NPI and your tax ID. The payers use these to decide whether they will answer you at all, so get them exact.
- Your providers. Each provider's name and NPI. A check goes out under a provider, so a missing NPI is the most common reason a payer refuses.
- Your services and fees. Your own codes and prices. These are what make a patient estimate real money instead of a guess.
- Your carriers. Pick the ones you actually take. They become the shortlist your team chooses from on every check.
You do not need to connect your practice management system to start. Verification works without it, and you can connect it later.
Run your first check
- Open Verification and choose Add patient, or pick someone already on file.
- Fill in everything the form asks for: legal name, date of birth, home address, Social Security number, carrier and member ID. If the patient is on someone else's plan, add the policyholder's name, date of birth and relationship too.
- Press Verify. The answer usually comes back in under a second and saves onto the patient with the date, next to their card images.
You get plan status, whether they are in network, the deductible met and remaining, the annual maximum used and remaining, coverage by category, frequency limits, waiting periods and any pre-authorisation flags.
Note
Fill in every box, even the ones that feel optional. The address and the Social Security number are what let a payer find a plan when the member ID is wrong or missing, and a check where we find nothing is only free if you gave us everything we asked for.
Do a whole day at once
Bulk upload is for when you want tomorrow's schedule verified in one go.
- In Verification, choose Bulk upload.
- Drop in a spreadsheet, one patient per row. The columns are the same fields as the single check.
- Any blank required box turns red and you get one warning for the whole batch, not a question per row. Fix the reds if you can, then run it.
- Results land on each patient as they come back, and the ones that need attention are grouped so your team can work the list.
What it costs
$250 a month for the office, charged when you sign up and on that same date every month after. The checks you run are a second charge on the same day, starting at $2.50 each and getting cheaper as you run more. You only pay for the checks where we find the plan, provided every required box was filled in. The full table is in Understanding per-minute and per-check pricing, and there is no contract: see How to cancel your plan.
If a check does not come back
It is usually the data, not the patient. The most common causes are a provider with no NPI, a member ID with a typo, or a carrier that needs the Social Security number. Work through A verification failed, what do I do first. If it still will not go through, send us the fix request from the check itself and we will look at it for you.
