// DIGITAL CHECK-IN

Digital patient check-in that ends the clipboard

Valian sends every patient a digital check-in link by text one hour before their visit. Forms arrive pre-filled from your PMS, the patient confirms what changed, snaps a photo of their insurance card, and taps submit. Everything writes back to your PMS automatically. Patients walk in already checked in, and your front desk greets people instead of typing.

// HOW IT WORKS

How digital check-in works

01

The check-in text goes out an hour before the visit

The link opens a form pre-filled from your PMS records, so returning patients only confirm what changed instead of starting from a blank page.

02

The patient fills it out on their phone

Contact details, health history updates, and a photo of the insurance card, which is parsed automatically. No app to download, no login to remember.

03

Amy checks completion 30 minutes out

If the form is not done, a reminder goes out. Auto-save keeps partial answers, so a patient who stops halfway can finish later, including in the office, without redoing anything.

04

Everything writes back to your PMS

On submit, the answers land in the patient record. No clipboard, no deciphering handwriting, no retyping field by field.

// WHY IT MATTERS

Why digital check-in matters

Paper intake is double work: the patient writes it, then your front desk reads it and types it all again. Run your own numbers:

Check the math yourself

  • Say 12 patients a day arrive with paper forms, and retyping each one into the PMS takes 10 minutes.
  • 12 patients x 10 minutes = 120 minutes. That is 2 hours of typing, every day.
  • Over a 5 day week, that is 10 hours, a full working day of staff time spent copying answers that already exist.
  • With digital check-in, the patient’s answers write back to the PMS on submit. The retyping simply goes away.

// FREQUENTLY ASKED

Common questions.

Do patients need to download an app for digital check-in?

No. The check-in link arrives by text and opens in the phone’s browser. There is no app to install and no account to create.

What happens if a patient does not finish the form?

Auto-save keeps every answer as it is entered. Amy checks completion 30 minutes before the visit and sends a reminder if the form is open. A patient who stops halfway can pick up where they left off, including on a device in your office.

Does digital check-in update our practice management system automatically?

Yes. On submit, the patient’s answers and parsed insurance card details write back to the patient record in your PMS. Your front desk does not retype anything.

Is digital patient check-in HIPAA-compliant?

Yes. Form data is encrypted in transit and at rest, access is logged, and Valian signs BAAs with the vendors that process protected health information.

Retire the clipboard.

See a patient check in from their phone, and watch the answers land in your PMS.
