Reading your invoice
Your invoice is a plain, itemized statement of what your practice used. Here's where to find it, what each part means, and how to trace any line back to the real calls, texts, and checks behind it.

Your Valian invoice is a plain, itemized statement of what your practice used in a billing period. There's nothing to decode: every line is a category of usage, every category expands to the real activity behind it, and the total is simply the sum. This article shows you where to find your invoices and how to read every part.

Where to find your invoices
- Open the Billing tab. Scroll to the invoice history (also called Statements).
- Pick a period. Invoices are listed newest first, each labeled with its billing period, such as "Jun 1 – Jun 30, 2026."
- Open it to expand the detail. Click an invoice to see its category breakdown.
- Download a copy. Save the invoice as a PDF for your bookkeeping or to forward to whoever handles your accounts.
What's on an invoice
Each invoice has a short header and an itemized body:
- Invoice number — a reference like "V-2606" for your records.
- Billing period — the month the usage covers.
- Issue date — when the statement was generated (usually the first of the next month).
- Payment method — how it was settled, for example "Wallet · Bank ····4471."
- Status — Paid, Open, or Processing (explained below).
- Itemized breakdown — your usage grouped into Voice, Insurance, Messaging, and your Number, each with an amount. Every group can be opened to see the activity behind it.
How the total is calculated
The total is just the sum of your metered usage for the period. For example, a past month might read: Voice $1,998.00 + Insurance $515.00 + Messaging $291.25 + Number $10.00 = $2,814.25. There are no hidden line items — if you paid a card processing fee, it's shown as its own clearly-labeled line. For the mechanics behind the numbers, see How is my usage metered and invoiced?.
What the statuses mean
Note
Paid — settled in full, usually drawn from your prepaid wallet. Open — the current cycle is still accruing usage and hasn't closed yet. Processing — a payment is in flight and will show as Paid once it clears.
Trace any charge back to activity
The best part of a Valian invoice is that nothing is a mystery. Open any category and you'll see the underlying entries from your activity log — the calls, texts, emails, and insurance checks that produced the amount. If a number ever looks high, this is where you confirm exactly what drove it, day by day.
Frequently asked questions
How often am I invoiced? Once a month, when your billing cycle closes. You can watch the current cycle add up live in Billing before it becomes a final invoice.
Can I download a PDF for my accountant? Yes. Every invoice can be saved as a PDF from the statement history.
What's the difference between my wallet balance and my invoice? Your wallet is the prepaid balance usage draws from during the month. The invoice is the itemized record of that usage once the cycle closes. See The prepaid wallet, auto-reload, and pause.
Where do payment processing fees appear? If you funded by card, the small processing fee is a separate labeled line. Details are in Payment methods and ACH.
A charge looks wrong — what should I do? Open the line to see the activity behind it. If it still doesn't add up, submit a ticket from the Help Center or email help@valiansystems.com and we'll review it with you.
