How is my usage metered and invoiced?
Valian bills for what you actually use. Every billable action Amy takes is recorded the moment it happens, and your invoice is built straight from those records — so every charge traces back to something real.

Valian doesn't charge a flat monthly fee or a per-seat license. You pay for what Amy actually does for your practice, and nothing more. Every billable action is recorded the instant it happens, your prepaid wallet draws down as it adds up, and your monthly invoice is built straight from those records. Because of that, every charge on your bill traces back to something real.

You never have to guess what you're spending. Open the Billing tab any time to watch usage add up live, day by day, with a running total for the current cycle.
What counts as usage
There are five things Valian meters. Each one is a simple, published rate:
- Amy voice minutes — $1.50 per talk minute, for calls Amy answers and calls she places for you.
- Insurance verifications — $5.00 per real-time eligibility check.
- Text messages — $0.25 each, whether Amy sends the text or receives one.
- Emails — $0.25 per email Amy sends.
- Your dedicated phone number — $10.00 per month for the local line patients call.

How a charge gets recorded
Everything Amy does writes an entry to your activity log the moment it happens. A three-minute call, a confirmation text, a benefits check — each one is its own recorded event with a time stamp. Your invoice never invents a number: each line is just the sum of those recorded events for the billing period.

This is why Valian billing is easy to trust. Every dollar on the invoice can be opened up and traced to the calls, texts, and checks that produced it. If a line ever looks off, you can drill straight into the activity behind it.
Your billing cycle
Usage is measured over a monthly cycle — for example, Jul 1 to Jul 31. On the Billing tab you'll see three helpful numbers:
- Spend this cycle — what you've used so far this month.
- Projected total — a simple estimate of where the cycle lands at your current pace.
- Runway — roughly how many more days your wallet balance covers at your recent average daily spend.
These update throughout the day, so there are never any surprises at month end.
How usage becomes an invoice
- Amy works and usage is recorded. Each call, text, email, and insurance check writes an entry to your activity log with the exact rate applied.
- Your wallet draws down. Because Valian runs on a prepaid wallet, usage debits your balance as it happens. See The prepaid wallet, auto-reload, and pause.
- The cycle closes and an invoice is issued. At the end of the month, Valian totals the recorded usage into an itemized statement, grouped by category.
- You can open any line. Every category on the invoice expands to the underlying activity, so the math is always visible. Walk through it in Reading your invoice.
Frequently asked questions
Do I pay per user or per front-desk seat? No. There are no seats, licenses, or contracts. You can add as many team members to your account as you like at no extra cost — you only pay for the usage Amy generates.
If Amy answers a call but the caller hangs up quickly, am I charged? You're billed for the actual talk time at $1.50 per minute, so a very short call is a very small charge. You are not charged a flat fee just for the phone ringing.
Are texts billed in both directions? Yes. Each text message counts as $0.25 whether Amy sends it or a patient replies. This is the standard way messaging is metered, and every message shows in your activity log.
Where do I actually see all of this? The Billing tab. It shows your live cycle total, a daily spend view you can filter and click into, your wallet balance, and every past invoice.
