Dental Insurance Software: What It Costs and Checks

Dental insurance software compared: what it checks, what plans cost, and how one click verifies coverage before a visit.

We built Valian's insurance verification tool because our own front desk teams were losing real minutes every day to payer phone trees and portal logins. This post walks through what dental insurance software actually does, what it costs, and how a check runs from the moment someone clicks it.

Dental insurance software is a program that checks a patient's dental plan details, eligibility, deductible, remaining maximum, and frequency limits, against the payer's system before or during a visit, instead of a staff member calling the insurance company or logging into a payer portal by hand. A front desk team signs in, selects the patient, and runs the check. The result returns the plan status, remaining benefits, and any waiting periods in under a second.

This kind of software is typically sold as a subscription, priced by how many checks the office runs each month, separate from a full practice management system. Each plan covers a set number of checks a month (up to 10,000 on the largest plan), and each check where we find the plan is billed on top. It replaces the phone call or portal login a front desk would otherwise make to confirm a patient's coverage, not the practice management system itself.

What Counts as Dental Insurance Software?

The phrase covers three different things, and practices often mix them up when they shop.

The first is eligibility and benefits checking: software that connects to payers and pulls back a patient's plan details on demand. Valian's insurance verification tool falls in this group, alongside the other dental insurance software practices compare for eligibility checks.

The second is practice management software with insurance checking built in as one module among scheduling, charting, and billing. Dentrix and similar dental software systems work this way; you buy the whole platform, and verification is one tab inside it.

The third is a verification service, where a company's staff (not software alone) calls payers or logs into portals on your behalf and sends back a report, usually after a wait.

The right fit depends on whether you already have a practice management system you like, how many checks you run a month, and whether you want the check to run the moment you click it or later from a verification service. For the full steps and time involved either way, see our guide to dental insurance verification.

How Much Does Insurance Verification Cost?

Insurance verification on its own is priced by volume, not a flat fee. Plans start from $49 a month per location, plus $2.50 or less per check we find. Here is how the tiers break down:

  • 50 checks a month: $49
  • 150 checks a month: $99
  • 500 checks a month: $179
  • 1,000 checks a month: $250
  • Up to 10,000 checks: $449

Each check where we find the plan is billed on top of the plan at $2.50, dropping to $2.25, then $2.00, then $1.75 as your volume grows in a month. This is a monthly subscription. You pick the tier that matches how many checks your office actually runs, and you can move up or down as patient volume changes. Current tiers are listed on our insurance verification page.

How Does a Check Actually Run?

With Valian's insurance verification tool, a staff member signs in and checks any patient in one click, and the result comes back electronically in under a second. Checks only run when someone clicks to run them; there is no batch job and no delay.

This matters because some competing tools return a report after a longer wait, sometimes the next business day, instead of an answer you see right away in seconds. That is still useful, but it is a different workflow than clicking and getting an electronic answer immediately. If your front desk needs to confirm coverage while a patient is on the phone scheduling, a one-click check that answers in seconds is the faster path.

In the Full System too, your team runs each check in one click, and Amy can also check a caller's coverage live on the call.

Insurance Verification Inside a Full Front Desk System

Some practices want verification bundled with the rest of the front desk: the phone, check-in, and reminders. Inside the Full System, insurance checks are part of one monthly plan, together with the calls, texts and emails.

The Full System and the Communications package are sold as monthly plans, with no setup fee. Book a 15-minute discovery call to see the plan that fits.

What to Look for Before You Buy

A few things matter more than feature lists when you compare options.

First, check how the software connects to payers. Ask whether it pulls eligibility and benefits directly or whether a person is doing the lookup behind the scenes and emailing you a PDF. Our verify page lists every payer we check in real time, searchable by name, so you can confirm your top payers are covered before you sign up.

Second, ask what happens when a payer does not respond right away. Some payers answer in seconds; others take longer, and the software should tell you that plainly instead of guessing.

Third, look at adoption in your own field. According to the ADA Health Policy Institute, 43.3% of dentists already use AI for at least one task, and insurance verification is the second most common planned AI use, with 32.6% of dentists planning to adopt it compared with 13.6% who use it for that today. That tells you this is a normal part of the front desk now, not a fringe tool.

Fourth, ask about staffing. If you are trying to cut front desk staffing costs, insurance verification software only helps if it actually removes the phone call or portal login, not if it just adds another screen for the same person to check.

Whatever path you choose, the right dental insurance software should save your front desk minutes every day, not add another login. If you want to see how a one-click check or a bundled Full System would fit your schedule, you can book a short call with our team and we will walk through your current claim volume together.

FAQ

What is the most commonly used dental software?

Dentrix and Open Dental are the two practice management platforms we see most often at the practices we work with. They handle scheduling, charting, and billing, and most offices add insurance verification or an AI receptionist on top rather than replacing the base system.

How much does Dentrix cost per month?

Dentrix pricing depends on practice size and which modules you add, so you would need a quote from Dentrix directly for your location. We do not resell or price Dentrix; our tools run alongside it.

What is the best insurance software?

There is no single best insurance software for every practice. The right pick depends on how many checks you run a month, and whether you want it built into your practice management system or standalone.

Is there a free dental software?

Some practice management systems offer limited free tiers for very small offices, but we do not know of a free option that includes real-time insurance verification. Valian's standalone verification plans start from $49 a month per location, priced by how many checks you run, plus $2.50 or less per check we find.
