// Claims and collections

Dental billing that starts with the right coverage.

A dental billing service gets the money the work earned: claims out clean, every claim followed until it pays, denials worked, balances collected. Valian handles insurance verification today, the first step of every claim. Claims and collections are what we are building next, and we are now taking our first offices.

// The work

What a dental billing service should handle.

Insurance verified

Eligibility, deductible, annual maximum, frequencies and waiting periods confirmed before the patient sits down.

Claims sent clean

What the doctor coded and documented, sent electronically with the attachments the carrier needs.

Every claim followed

Tracked from accepted to paid. A claim that goes quiet gets a status check, not another copy sent blind.

Payments posted

Each carrier payment and its explanation of benefits matched to the right claim, with the patient’s share worked out.

Denials worked

Each denial read for its reason, then corrected and resent or appealed, inside the carrier’s deadline.

Balances collected

Statements and reminders for what patients owe, so the aging report shrinks instead of growing.

// Your options

In-house, outsourced, or software.

Most offices end up with a mix. Here is how the three compare.

In-house biller

Your employee, who knows your doctors and your patients. Coverage has gaps when they are out, and old claims get worked when there is time.

Billing company

An outside team that does only billing and covers when someone is out. Old unpaid claims are often a separate project.

Billing software

Your team does the work and the software does the sending. Only as good as the time your team gives it.

// Before you sign

Six questions to ask a dental billing company.

Will you sign a BAA first?

Claims carry patient information. The business associate agreement comes before the first report leaves your office.

Who picks the codes?

The answer should be your doctor. A service that changes codes to get paid puts your license at risk, not theirs.

What exactly is included?

Attachments, status checks, calls to carriers, appeals, patient statements, and the claims that are already old when you start.

How will I see what is happening?

You should see every open claim, its status and what is being done about it, without asking.

How long is the contract?

And what happens to claims in progress if you leave.

Who touches my practice software?

Ask what access they need, who has it, and how it is logged.

// What if

The things practices ask first.

Does Valian do dental billing today?

Not yet. Today Valian verifies insurance in real time and handles patient communication. Claims and collections are in development, and we are now taking our first offices.

Who picks the codes?

Your doctor and your team. A billing service should send what the office coded and documented, and never choose or change codes to get a claim paid. That is how Valian will work.

How are dental billing services usually priced?

Usually one of three ways: a share of what is collected, a fee per claim, or a flat monthly fee. Ask what is included in each: attachments, follow-up calls, appeals, patient statements, and what happens to claims that are already old when you start.

In-house biller or outsourced billing?

An in-house biller knows your doctors and your patients; an outsourced service keeps working when someone is out and brings a team that does only billing. Many offices split it: the front desk verifies and collects at the visit, a service works the claims and the aging report.

What does verification have to do with billing?

A claim is only as good as the coverage information behind it. Checking eligibility, frequencies, waiting periods and the remaining maximum before the visit catches the problems that otherwise come back as a denial weeks later.
