How Amy books an appointment

Amy books straight into your real schedule during the call or text — she matches the reason for the visit to the right appointment type, finds a genuinely open slot with the right provider, and confirms it in seconds.

When a patient calls or texts to make an appointment, Amy handles the whole thing on the spot. She figures out what kind of visit they need, checks your real openings, offers a couple of times, and writes the booking straight into your schedule — all before the call ends. There is no callback and no "let me check and get back to you."

Tip

You never have to book these yourself. Amy books directly into your practice management software (PMS), so the appointment is already on the schedule the moment you look. This article explains what happens behind the scenes.

What Amy needs to book

Amy asks a caller the same things your front desk would:

  • The reason for the visit — a checkup, a cleaning, a toothache, a consult.
  • Who they are — she recognizes returning patients and starts a record for new ones.
  • When they'd like to come in — a day, a time of day, or "the soonest you have."
  • Insurance, if they have it — a member ID lets Amy verify benefits during the same call.

How a booking happens, step by step

  1. Amy greets the caller and asks what they need. She listens for the reason for the visit so she can book the right type of appointment.
  2. She recognizes the patient. If they've been in before, Amy pulls up their record from memory. If they're new, she collects their name, date of birth, and contact details and starts a new patient record.
  3. She matches the reason to an appointment type and length. A cleaning and an emergency toothache are different lengths with different providers — Amy uses your service menu to pick correctly.
  4. She checks your real openings. Amy reads your live schedule and only looks at slots that are truly open, inside your working hours, and with a provider who does that kind of visit.
  5. She offers a couple of times, and the patient picks one. Amy suggests the best available options instead of reading a long list.
  6. She writes the booking into your schedule. The appointment lands in your PMS exactly where it belongs, and Amy reads the details back to confirm.
  7. She confirms and follows up. Amy sends a confirmation by text and email, and if the patient gave a member ID she runs a real-time insurance check too.

New patients vs. returning patients

For a returning patient, Amy already knows their name, provider, and history, so booking is quick — she confirms it's really them and finds a time. For a new patient, she collects the details your practice needs, usually books a longer first-visit slot, and creates the record so everything is ready before they arrive.

Note

Amy only ever offers times that are genuinely bookable: open in your book, inside your hours, and long enough for that type of visit. She can't double-book or squeeze an appointment where it won't fit.

Where the booking shows up

As soon as Amy books, the appointment appears on your Today view and on your schedule, and a note lands on the patient's timeline. If anything needs a human — say a patient asks a clinical question, or wants a time you don't have — Amy captures it and drops a task in What needs to get done so your team can follow up. Nothing slips through.

Frequently asked questions

Does Amy book into my actual schedule, or a separate calendar? Your actual schedule. Amy reads and writes directly to your PMS — Open Dental, Dentrix, Eaglesoft, and the other supported systems — so there's no second calendar to keep in sync.

What if the patient wants a time that's already taken? Amy only offers open times, so she won't promise a slot that's gone. If their ideal time is full, she offers the nearest options, and she can add them to the waitlist so they get first crack if something opens up.

Can Amy book after hours or on weekends? Yes. Amy answers and books around the clock. A call at 9pm on a Sunday gets the same booking as a call at 9am on a Monday.

What if I need to change how long a visit type takes? Update it in your service menu. See Appointment types and durations.

How do I stop Amy from booking a certain time? Block it. Walk through the options in Block times so Amy never books them.
