Automating Patient Eligibility Verification at the Desk

Automating patient eligibility verification: how the one-click check works, what it costs, and what still needs a person to confirm.

What Automating Patient Eligibility Verification Means at the Front Desk

We hear this question from practices that are tired of hold music. It does not mean a robot that calls the insurance company on its own and leaves a note. At most practices we work with, it means the front desk signs in, picks a patient, and clicks once. The answer comes back before the next patient sits down. Practices ask about this because the phone rings the moment a claim gets denied over an eligibility problem a quick check would have caught.

Automating patient eligibility verification means replacing a phone call to the payer, or a manual login to five separate portals, with one electronic check that pulls a patient's plan status, deductible, and remaining benefit in real time. Insurance verification on its own works this way at Valian: the front desk signs in, selects the patient, and runs the check in one click. The result returns in under a second, showing whether the plan is active, what the deductible looks like, and what benefit remains for the year. Nothing runs on a schedule and nothing happens without someone starting it. A staff member decides which patient to check and presses the button.

This is different from tools that promise fully automatic runs; those still need someone to confirm the results before billing. Insurance verification on its own is priced by how many checks the office runs each month, with plans from $49 a month per location, plus $2.50 or less per check we find. The office decides when a check happens and who runs it.

How the One-Click Check Works

Run a check in one click before the visit, and the front desk sees what the payer's system returns: whether the plan is active, the deductible and how much of it is met, the yearly maximum and what is left, and whether the plan carries a waiting period or a missing tooth clause. A separate guide covers what must be verified to confirm eligibility in more detail. None of it requires a phone call, and no special training is needed since staff sign in with the same login they already use every day.

Here is the math one office ran for us. Front desk staff were checking 40 patients a day, five days a week. That is 40 x 5 = 200 checks a week, or about 800 checks a month at four weeks a month. Each check took under a second to return, once run, instead of the several minutes a phone call or a portal login used to take. A related office reworks about 10 denied claims a month at 15 minutes each to research and resubmit, which is 10 x 15 = 150 minutes a month spent on rework alone. Plug in your own daily patient count and denial count to see what one click a check is worth at your practice.

What Changes Inside the Full System

Inside the Full System, insurance checks are part of one monthly plan, together with the calls, texts and emails, with no setup fee. A front desk that wants the check next to scheduling and reminders, in one place, usually ends up on this plan.

Why Practices Are Automating Eligibility Checks Now

The ADA Health Policy Institute's 2026 survey found that 43.3% of dentists use AI for at least one task, and that insurance verification is the number two planned AI use, at 32.6% planned versus 13.6% current. That gap, between what dentists plan to automate and what is actually running today, is where a lot of hold time and portal logins still happen.

We built this because our own front desk was losing hours a week to the same three payer portals. A practice checking 25 patients a day, 22 business days a month, runs 25 x 22 = 550 checks a month. At even one minute saved per check against the old phone or portal method, that is 550 minutes, more than nine hours, back on the schedule every month. Your own numbers will differ depending on payer mix and staff speed.

What a Person Still Has to Confirm

A one-click check tells the front desk whether a plan is active and what benefit is left. It does not tell staff whether a specific procedure code is covered under that plan's own rules, since coverage varies by policy and by the codes billed, for example under the CDT procedure code guide practices use to bill treatment. That still takes a person reading the plan summary or calling the payer about a specific code. Two-plan households, where a child is covered under both parents' plans, also need a person to sort out which plan pays first. Any question about whether a finding on a check means a patient needs treatment goes to the dentist or physician, not the front desk software.

Pricing: From $49 a Month

Insurance verification on its own is a subscription, priced by how many checks the office runs each month. A 50-check plan is $49 a month plus $2.50 or less per check we find. A 150-check plan is $99. A 500-check plan is $179. A 1,000-check plan is $250. A plan for up to 10,000 checks is $449. On top of the plan, each check that finds active coverage carries a small fee: $2.50 at first, dropping to $2.25, then $2.00, then $1.75 as monthly volume grows. The office is billed once a month for the plan, plus any found-check fees from that month.

FAQ

What methods can be used to verify patient eligibility?

Front desks use three methods today: calling the payer's phone line, logging into each payer's own portal one at a time, and running an electronic check that returns plan status in one click. Practices we work with are moving away from the first two, since each one costs staff minutes per patient. The third method is what most people mean when they talk about automating patient eligibility verification.

What is the best software for verifying medical insurance eligibility?

The right software depends on volume and payer mix. Look for a one-click check that returns plan status and deductible in under a second, and a price that scales with how many checks you actually run, not a flat fee that punishes a slow month. For a deeper look at what real time verification takes to set up, see this guide.

How to verify patient insurance eligibility?

Sign in to the verification tool, select the patient's plan, and run the check in one click. The result shows plan status, deductible, and remaining benefit in under a second. That is what most eligibility checks are built to return, whether the plan is dental, medical, or a supplemental policy.

How can I verify a patient's Medicare eligibility?

Medicare eligibility checks work the same way as commercial plans: one click returns whether the patient is active and what Part A and Part B cover. Our guide to verifying Medicare eligibility covers the specific steps and what looks different from a commercial payer.
