Notification preferences
Decide exactly what Valian pings you about, and where. Turn each alert — missed calls, new bookings, escalations, and more — on or off by text, email, and push, and set quiet hours for overnight.

Amy handles the phones so you don't have to hover over them — but there are moments you still want to know about right away, like a call she flagged for a human. Notification preferences let you choose exactly what Valian pings you about, and on which channel, so you get the few alerts that matter and none of the noise. Preferences are per person, so what you turn on is yours alone; a teammate can set theirs differently.
Tip
Leave Escalation — needs a human on across text and push, and let quieter items like the daily summary land in email. That way an urgent handoff reaches you instantly, while the recap waits until you have a moment.
The alerts you can control
Open Settings → Notifications to see the full list. For each one, you decide whether it reaches you by text, email, and/or push (push means a notification on your phone or in your browser). The alerts are:
- Missed call — a caller hung up, or Amy couldn't fully resolve the call.
- New appointment booked — Amy scheduled a patient.
- Escalation — needs a human — Amy flagged a call for the front desk. This is the one most practices want the loudest.
- Cancellation or reschedule — a patient changed or canceled a visit.
- Daily summary — an end-of-day recap of calls, bookings, and revenue.
- New patient review — a patient left a review after their visit.
- Wallet low balance — your prepaid balance is running low. See How usage is metered and invoiced.
Set your preferences
- Open Settings → Notifications. You'll see every alert with a switch for text, email, and push.
- Turn each channel on or off for the alerts you care about. For example, keep escalations on for text and push, and new bookings on for email only.
- Confirm your contact details are current — the phone number for texts and the email address for email alerts. Update them if they've changed.
- Save. Changes take effect right away. You can fine-tune any time as you learn which alerts you actually want.
Note
These preferences control your staff alerts — the pings to your team. They are separate from the reminders and confirmations Amy sends patients about their appointments. Those are set under how Amy runs, not here.
Quiet hours
Nobody wants a routine ping at 2 a.m. Turn on quiet hours and pick a window — many practices use something like 9:00 PM to 7:00 AM — and Valian holds your routine alerts until the window ends, then delivers them in the morning. Quiet hours are about protecting your evenings from noise, not about missing anything: nothing is dropped, it's just held.
If your practice runs a true after-hours or on-call line, keep escalations reaching whoever is covering, and let everyone else set quiet hours that fit their evening.
Choosing channels wisely
- Text is best for the handful of things you'd want to glance at immediately — an escalation, a missed call.
- Push is great for the phone in your pocket without the cost or clutter of a text.
- Email suits anything you'll read when you sit down — the daily summary, a new review, a low-balance heads-up.
Turning everything on for every channel just trains you to ignore all of it. Pick the one or two channels that fit each alert, and the important ones stay noticeable.
Frequently asked questions
Do my settings change what my teammates get? No. Notification preferences are personal. Each person on your team sets their own, so the office manager and the front desk can be pinged differently.
Will I get texted for every single call? Only if you turn that on. Most practices leave routine calls off and keep alerts for escalations, missed calls, and cancellations — the things that need a person.
Where do I change the phone number my alerts go to? Under Settings → Notifications (and your profile). Make sure it's current so texts and push reach the right device.
Do staff alerts cost anything? The alerts to your team are part of the platform. What draws down your wallet is what Amy does with patients — calls, texts, emails, and insurance checks. See How usage is metered and invoiced.
Can I get an escalation alert to more than one person? Yes — each person turns on the escalation alert in their own preferences. If two people should both know, both switch it on.
